Role-based Access

Role-based access is a security method that controls what users can do by assigning permissions to defined roles rather than granting access individually. In accounting systems, administrators create roles such as accounts payable, accounts receivable, or auditor, then authorize each role to view, enter, approve, or modify specific financial records and functions, typically following least-privilege and segregation-of-duties principles. This approach simplifies user administration, supports consistent authorization as responsibilities change, and helps limit unauthorized transactions. It also strengthens accountability by linking activity to approved responsibilities, supporting internal controls, compliance reviews, audit trails, and the protection of sensitive financial information.
