The perpetual inventory system updates inventory records in real time after each purchase or sale, using automated systems such as cash registers, scanners, and accounting software.
In this system, the inventory account increases with every purchase and decreases with every sale, ensuring that the inventory account always reflects the current stock levels.
For example, Best Appliances, an electronics store, has one hundred units of refrigerators in stock on the first of May.
When a customer purchases a refrigerator for three thousand dollars, the system automatically decreases the inventory count by one unit while increasing the bank account by three thousand dollars.
This real-time data helps managers make more informed purchasing and sales decisions.
A key advantage of the perpetual system is tighter inventory control.
This allows companies to monitor inventory levels, minimizing stockouts or excess inventory continuously.
Despite these real-time updates, companies usually conduct periodic physical inventory counts to verify actual stock levels and correct any discrepancies caused by theft, spoilage, or data entry errors.
